Specialized workflows

Unusual forms and formulas need a conversation, not a nearer industry label

If your bill, register, or approval chain does not fit a standard voucher, describe that document. We will say whether a tailored workflow is warranted.

Some businesses do not match a trade template

Specialized workflows are the ones a standard industry page flattens: a bill calculated from measurements, a form with a legal or contractual layout, a record that must be approved before it is final, or a unit of sale that does not exist in ordinary item masters. Anywhere Anytime can discuss those requirements and propose a tailored scope. Being unusual is not, by itself, proof that you need custom software. Sometimes a nearby standard is enough, and we should say so.

Operational challenges

  • The commercial document has columns that generic invoices delete or rename.
  • A calculation uses a formula staff can explain but a package cannot configure.
  • More than one role must sign off before a customer sees a figure.
  • Historical records matter because disputes refer to a specific past document, not a balance.
  • Previous software projects failed because they started from a module list instead of the form.

Workflows that can be assessed

We start from the form and the formula. If the result is a charge, it can connect to billing. If parties carry balances, it can connect to party ledgers. If several people touch the record, the statuses belong in custom workflow software. If you mainly need to find old documents, the work may be closer to paperwork digitization and searchable records than to a new calculation engine.

Suggested modules

There is no default bundle. A specialized business might need one carefully designed document and nothing else for a first release. Adding accounting, stock, or reminders “because other clients have them” is how scope becomes vague. Suggested only after the walkthrough:

  • The document or calculation itself, as a custom workflow.
  • Money modules only at the step where a balance changes.
  • A register of those documents for the period you review.

Questions before implementation

  • Which single form, if supported well, would remove the side spreadsheet?
  • Is the difficulty the layout, the formula, the approval, or the history?
  • What is explicitly out of scope for a first version?
  • Who can explain the awkward case, not only the happy path?

Questions about unusual processes

Is every unusual process worth custom software?

No. If a small change in how you fill a standard tool would remove the pain, that is the better recommendation. Custom development is justified when the form, formula, or control is central to how you charge or record work.

What if our trade is not listed on the industries page?

Use this conversation anyway. The listed industries are common contexts, not a gate. Suitability depends on whether the workflow can be explained and maintained.

Discuss a workflow that standard software missed

Bring the form people retype into a spreadsheet. That form is the requirement.
