Preparing for business software implementation

Most implementation trouble is missing samples, uncertified opening figures, and no written test. Collect those before you judge the software.

Maintained with the Anywhere Anytime website by Sai Vanaja Group. This is an educational note, not a client case study, and it has no invented publication date.

Implementation is the work between an agreed scope and a day when staff trust the new record. It is mostly preparation. Software that arrives before the samples, the roles, and the test cases will be judged unfairly, and then abandoned. This guide fits a customized project from Anywhere Anytime and is equally useful if another party is building. The engagement shape is on how it works.

Document the current process

Write the path of one normal transaction and one awkward transaction. Name the person at each step and the paper or file they touch. Note waits, such as “the bill sits until the owner returns”. Do not polish the process into what you wish it were. The build has to meet the real sequence first. Improvements are explicit decisions, not surprises hidden in a screen. The method is the one on our approach.

Collect sample forms

Gather blanks and filled examples of every document in the scope. Cover prices if the file will travel by email before you are comfortable. Include a cancelled example and a partial-payment example if those happen. Five good samples beat a forty-page policy nobody follows. Billing samples are discussed in choosing billing software. Ledger samples are discussed in manual versus digital party ledgers.

Define user roles

List roles before you list logins. Entry, review, and view-only solve most small offices. Add a role only when someone’s job is blocked without it. Decide the first day who administers access when an employee leaves. A project that postpones roles until “later” ships with a shared password, and the later never comes.

Prepare data

Clean party names before opening balances. One customer with three spellings becomes three balances and a dispute. Certify opening figures on a stated date. Separate files that can be imported from pages that must be typed. Keep a rejection list with an owner. The field and phase advice in digitizing business records is the detailed version of this paragraph. The decision list is the accounting workflow checklist.

Prioritize essential features

Mark each requested screen as required for go-live or safe to delay. Required means the office cannot complete the chosen process without it. A report that is nice at month end can wait if the register itself is correct. Delayed is not cancelled. It is sequenced. This is how a first release stays small enough to test. Custom scope guidance is in benefits and limits of customized software.

Write testing scenarios

A scenario is a story with an expected result. Example: “Enter this credit bill for this party. The party balance increases by the bill total. A receipt of half that amount leaves the remainder.” Include at least one reversal and one case you consider awkward, such as a party who is both customer and supplier. The person who knows the paper process should predict the result before looking at the software. A test that only the developer understands does not protect you.

Passing scenarios shows the agreed rules were implemented. It does not certify tax law. If a statutory output is in scope, add a scenario your advisor has described. If it is not in scope, do not test it as if it were.

Train the people who do the work

Train on the samples from your office, in the role each person will have. A manager watching a demo is not training. Sit through a normal day’s volume in practice, even if the practice data is a copy. Note where people hesitate. Hesitation on a required step is a design issue. Hesitation on a rare setting is a note in a short written aid. Keep that aid to a page. Long manuals are not used at a counter.

Plan rollout and support

  1. Pick the process and the start date. Avoid a date when the person who knows the books is away.
  2. Run in parallel for a defined number of days or documents. Compare totals. Explain differences in writing.
  3. Name the moment the digital record becomes the working record for that process only.
  4. Agree how defects in agreed behavior are reported, and how new wishes are queued separately.
  5. Schedule the next process only after the first is calm.

Support after that point covers the delivered scope. A new branch, a new bill format, or a newly requested reminder is estimated work, as the FAQ on future changes says. If you want to begin the document collection with Sai Vanaja Group, use the contact page. You can start before every checklist line is finished. You should not start a build before the required lines for the first process are finished.

Talk through your own documents

If this guide describes your paperwork, bring a sample. Scope still depends on your process.
